When Dr. Melissa Buchberg's front desk staff began feeling the pressure of nonstop phone calls, missed paperwork, and short staffing, she knew something had to change. The digital tools they tried only added frustration, for both patients and staff. That's when she and her team discovered Qure4u and started seeing real results.
What challenges were you facing with your previous vendor?
"We were kind of drowning in paper," said Dr. Buchberg. "We'd try to send paperwork before visits, but it wasn't reliable, some patients completed it, some didn't."
Staffing was another challenge. "We were already short at the front desk, like a lot of practices. We needed a solution to streamline everything, from pre-visit forms to check-in to collecting co-pays."
They had tried athena's check-in tool, but it wasn't delivering the experience they needed. "Patients would get stuck logging in, or give up if it felt too complicated. And even when they completed everything, the data didn't always make it into the chart cleanly. It just wasn't efficient."
What made Qure4u the right fit?
Dr. Buchberg and her team explored all their options. "We looked at Clara, Phreesia, DocResponse, maybe one or two more. It was a pretty exhaustive search."
What stood out? "Qure4u checked all the boxes. It had the features we needed, and it was cost-effective. Some platforms were a lot more expensive without giving us anything extra. Qure4u was the best balance of function and price."
You've hit a 90% pre-visit check-in rate—how has that changed day-to-day operations?
"It's made a big difference," said Dr. Buchberg. "When patients complete their tasks before they arrive or even just most of it, it helps everything run smoother."
To keep patients on track, they use QuickPrep. "Sometimes we even send a little nudge ourselves, something like, 'Hey, don't forget to check in. We may need to reschedule if it's not done ahead of time.'" The result? "Less pressure on the front desk. We're offloading paperwork, intake, and co-pay collection ahead of time, and that's allowed us to do more with less."
How has self-scheduling changed things for your team?
"We rolled it out in the fall, and it's been going well," said Dr. Buchberg. "Patients love it. It's taken a load off the admin team, patients just book right into available slots, which keeps the phone lines open for more complex needs. We have had 900 appointments self-scheduled. That's 900 fewer phone calls for staff."
There's still some backend work, but reducing call volume has been a game changer. "We've encouraged more of our providers to start using it, and we're customizing it as we go."
Dr. Buchberg currently keeps 3–4 self-scheduling slots open daily, mainly for annuals. "OB and GYN problem visits need more coordination, like ultrasounds, so we still book those manually, but overall, it's been a big win."
Are you using secure texting, too?
"All the time," she said. "Our schedulers, especially the surgery team, use it to go back and forth with patients about referrals. I use it myself too."
But the biggest impact has been with one-way texts. "We use them a lot, and I'd love to be able to send them in bulk—for things like weather alerts or when a provider is out. That would be a total game changer."
Well, it's been released! With BulkText, Dr. Buchberg and her team can now send secure, targeted messages to groups of patients with just a few clicks, making communication faster, easier, and a lot more scalable.
What would you tell another provider considering Qure4u?
"I think Qure4u is a really solid solution," said Dr. Buchberg. "athenahealth is still our EHR, and they've made improvements, but they haven't caught up to what we're getting from Qure4u."
"If someone asked me how to streamline workflows and reduce the burden on their staff, I'd absolutely recommend it."
